Terms and conditions for tours

How to book
A reservation is made once we have received a completed booking
form and deposit of £100.00 (pounds sterling) per person from
you and we have sent a confirmation letter and invoice (by email
or mail).
Places
will
be allocated
on a
first come, first served basis.
Provisional reservations
We are happy to accept provisional reservations, by mail, email
or telephone provided that they are followed by the completed
booking
form
and deposit within 14 days. If no form or deposit are received
the provisional booking will have deemed to have lapsed. You

Balance payable
Payment of the balance is due 60 days before the start
of the tour and we will send you an invoice before that time. For
methods of payment, please see Payments.
Tour price
The tour price for our spring week in east and western England
is £850.00 (pounds sterling) per person based on two sharing
a room. If you require a single room there is an additional supplement
of £150.00. If you are willing to share we can try to
find a suitable room-mate but if this is not possible the supplement will apply.
The tour is inclusive of accomodation, breakfast
and evening meals, transport, reserve fees if applicable, a trip
list log, and the services of your leader. Not included are insurance,
lunches and items of a purely personal nature. Where additional
expenditure
on drinks, phone calls, etc is made at hotels, these are the responsibility
of the tour participant and should be settled before leaving the
hotel.
Cancellations
If you are unfortunate enough to have to cancel a booked tour we
will, if the cancellation occurs more than 60 days before the
tour starts, refund your deposit less £50.00 (pounds sterling)
for administrative purposes. If cancellation occurs less than
60 days we cannot make a refund and the full cost of the tour
would be forfit. We strongly suggest that travel insurance is
taken out as soon as practicable to cover the chance of this eventuallity.
The only exception would be if we can fill the cancelled places,
when
we
will refund
75
per
cent
of
the costs
(we may need
to discount the price to fill last minute places).
Tour cancellation and alterations
We will do everything we can to ensure the tour runs as advertised.
However, there may be circumstances where cancellation of the
tour is unavoidable. Therefore, we reserve the right to make
any changes to the tour, or cancel, at any time. We would inform
you of any such necessities as soon as possible. Any changes
necessary, that are under our control, will be replaced with
services of a similar standard. If the tour has to be cancelled
we will
refund
the
complete costs
paid, including any deposits.
Party size
The party size is restricted to 10 participants. The only exception
to this may be if the last available place is taken by a couple
who wish to travel together, we may exceed the total by one.
When using the tour vehicle we would ask participants
to rotate the use of seating so that all may have an opportunity
to travel in a variety of seats.
Special requests
Any special requests should be indicated on the booking form and
we will do our best to accommodate them. If there are any circumstances
that would seriously effect the running of the tour we may, unfortunately,
have to decline the booking.
The birds
If only birds were predictable! But maybe that is why we enjoy
finding and watching them! The list of birds provided should
be treated
as a guide to some of the species we can expect to see in the
particular habitats at that time of year. We will do our best
to find and get good views of as many species as possible but
this is, of couse, dependent on the birds themselves.
Smoking
To give all our participants an enjoyable tour we ask smokers
to refrain from smoking in the vehicle, at the meal table and
at other times in close company of the group.
Complaints
If you are dissatisfied with any aspect of your tour, please inform
your leader straight away. If we are unable to solve the problem
on the spot, please write to us as soon as you return home.
Liability
We have taken every resonable care to ensure the tour and all services
from third-party suppliers are of an acceptable standard. We will
accept responsibility for the standard of the sevices we supply
to you. We will also accept responsibility for any proven negligent
acts or omissions by us or our suppliers in respect of claims arrising
as a result of death, bodily injury or illness to you or any member
of your party. However, liability will only be accepted if you
can prove that the death, injury or illness was caused by the negligence
of Birding London or our suppliers. We can accept no responsibility
for any acts of omission or negligence beyond our control. We cannot
accept any liability for loss, damage or expense resulting from
war, terrorist activities, civil unrest, natural or nulear disasteres,
fire or adverse weather conditions, technical or maintentance problems
with transport, cancellation or changes of schedule by airlines,
or for any unusual or unforseeable circumstances beyond our control
which could not have been avoided even with the exercise of all
due care.
We reserve the right to refuse to include, at
their own expense, any person unable or unwilling to conduct themselves
in a manner compatible with the satisfactory running of the tour.
If this situation should occur, Birding London will make no refund
nor pay or be liable for any compensation.
Our tours are deemed to be goverened by English
law and are subject to the exclusive jurisdiction of the English
courts.
Data protection/mailing list
We store the booking details of participants on computer. These details
are strictly confidential and are only available for use by Birding
London. We will, on application, supply a copy of any details held.
If you wish this information to be removed, we will delete it from
our system. Birding London may use information held to inform contacts
about future tours or send newsletters via email.
Payments
We are unable to accept payment in any overseas currencies (eg US
dollars). All payments must be made in UK pounds sterling using
one of the following methods:
Teletransfer from your bank of the
correct amount, plus any charges for conversion
of currency or other charges that may be deducted en route, direct
to our bank account using the following details: Account number
???, etc.
A certified international bank draft (bank cheque)
for the required amount in UK pounds sterling, send by registered
airmail to our normal address.
A personal cheque drawn on a UK bank and in UK
pounds sterling.
Travel insurance
It is strongly recommended that you purchase insurance to
cover the risks associated with travel, from the time of booking
your tour until your return home.
Flights
You will be responsible for arranging and paying for your own flights.
You should arrange to get to the hotel where the tour starts in
good time. Your flight home should be arranged for at least the
day after the tour concludes.
